An attractive purchase price is important, but it shouldn't be the only criterion. In HoReCa, profitability is also determined by the cost per portion, consumption rate, packaging size, storage conditions, and the possibility of using the entire batch.

Calculate the actual cost of a portion

Divide the total purchase cost by the number of servings or units you can actually use. Take into account any losses, portioning method, taxes, storage, and other operating costs.

Estimate the actual rate of consumption

Use data from your sales system, reservations, guest counts, or previous events. For a new product, adopt a conservative scenario and don't assume that the entire batch will be used according to the optimistic scenario.

Check the date and plan a buffer

From the remaining shelf life indicated on the product, subtract the time needed for delivery, receipt of goods, storage and safe use of the stock.

For products with a limited expiration date, read how to evaluate products with a short expiration date before purchasing .

Verify storage conditions

Check whether the premises have adequate storage space and can meet the manufacturer's specifications. Also consider the space needed to accept pallet deliveries.

Match the packaging to the application

Verify the capacity, number of pieces per carton, and product use. Packaging suitable for a minibar may not meet the needs of a kitchen, bar, or catering service serving a large event.

Products with a short shelf life in HoReCa

Products with a shorter shelf life can be a good solution for establishments that understand their consumption and can quickly use up a purchased batch. However, it's best not to buy larger quantities just because the unit price is attractive.

Before ordering:

  1. check the type and exact date marked on the product,

  2. count the number of days available for receipt and use of the batch,

  3. determine your average daily or weekly consumption,

  4. take into account seasonality, reservations and planned events,

  5. leave a safe operational buffer,

  6. confirm storage conditions,

  7. plan to use the entire carton or batch.

In the warehouse, apply the FEFO principle and use products with the closest expiration date first.

Small batches tailored to the needs of the premises

The minimum purchase quantity for OTP is one carton of a given product. This allows you to combine different products in a single order from a given manufacturer and reduce the risk of stocking up on a single variant.

The minimum order value for a single manufacturer is currently typically PLN 1,700 net. Before purchasing, please check the current terms and conditions displayed on the platform.

Ordering a small batch of products can help:

  • test a new product,

  • prepare a seasonal offer,

  • complete the sales zone,

  • handle an event or group booking,

  • use free space in the warehouse without excess stock,

  • compare interest in several variants.
